Tasks ⇄ Notion: help
Set up in three steps
- Connect Notion. Open the add-on from the side panel in Google Calendar or Gmail and press Connect Notion. Notion asks which pages the add-on may use: tick your task database, or a page where the add-on can create a ready-made task database.
- Pick the database. The add-on adds the columns it needs (Done, Due, Notes, Google Task ID, Google Task link) and leaves your other columns alone. A Status column works too: its "Complete" options count as done.
- Pick the Google Tasks list and press Start sync. The first sync runs at once; after that it runs every hour.
What syncs
Title, done, due date and notes, both ways. Each Notion page links to its task, and each task's notes end with a link to its Notion page (turn that off in Settings).
When both sides change
Each field is merged on its own. If only one side changed a field since the last sync, that change wins. If both changed the same field, the due date and done state follow Google Tasks and the title and notes follow Notion. Every such case is listed under What changed.
Deleting
- Deleting a task in Google Tasks moves its Notion page to Notion's trash. Restore it from there.
- Moving a page to the trash in Notion stops syncing that task. Turn on Delete tasks whose page is moved to Notion's trash in Settings to delete the task instead.
Plans
- Free: one Google Tasks list with one Notion database, synced every hour.
- Pro (USD 4 a month or USD 36 a year): every list, several lists into one database, and a Sync now button. 14-day refund, no questions asked. Upgrade.
Google lets add-ons run in the background at most once an hour, so no plan syncs more often on its own; Pro's Sync now runs a sync whenever you press it.
Errors and their fixes
| The panel says | What to do |
|---|---|
| Google's daily Tasks quota is used up | Nothing: sync resumes automatically the next day and nothing is lost. |
| Notion access was revoked or expired | Open the add-on and press Connect Notion again. |
| The Notion database or Google Tasks list is gone or no longer shared | Share the database with the integration again in Notion (••• → Connections), or pick another one in Settings. |
| The Notion database changed shape | Open Settings and press Re-check database columns. |
| Stopped at the time limit | Nothing: the next run continues where this one stopped. |
| A sync is already running | Wait a minute and try again. |
| Unexpected error | It retries on the next run. If it repeats, email the log to support. |
Limits
- Google Tasks has no repeating tasks or start times in its API, so those don't sync.
- Tasks completed more than 30 days ago are not imported.
- Subtasks sync as ordinary tasks.
- Up to about 3,500 open tasks across your synced lists (the sync state has to fit in your Google account's storage for add-ons). Completed tasks don't count.
- A first import of thousands of tasks runs in steps of a few minutes each hour, so it can take a few hours; the panel says when a run stopped at the time limit, and the next run carries on.
Disconnect and uninstall
Settings → Disconnect stops the sync and deletes everything the add-on stored in your Google account (settings, your Notion access, sync state and the change log). Your tasks and pages are not changed. Press it before you uninstall.
Privacy
The sync runs inside your own Google account. Your tasks go only to the Notion workspace you connect; our server sees only your email address, to check your plan. See the privacy policy.
